How to use CreateX on the web, the desktop app and the mobile app, plus our support service, response commitments and the Zoom and Tencent Meeting integration guides. Administrators and employees can both contact us directly.

01Getting an account

How do I get a CreateX account?

CreateX is provided to companies, so there is no self sign-up: your company's administrator creates your account in the admin console. They then give you your work email for signing in and an initial password (it is shown to them only once, when the account is created).

The web app, the desktop app and the mobile app use the same account and stay in sync.

My department, position or manager is wrong. How do I fix it?

Your work email, role, department, position and manager are maintained by your administrator — ask them to change it. You can change your own name, phone number and avatar; see "Privacy and your data" below.

My company doesn't use CreateX yet

Ask someone responsible at your company to email contact@createx-ai.hk for a company trial, with the company name, team size and a contact person. We will set up access and a demo.

02Signing in

Sign in on the web

  1. 1Open app.createx-ai.hk in your browser.
  2. 2Enter your work email and password and click "Sign in".
  3. 3You stay signed in for 14 days. On a shared computer, click your name at the bottom left and choose "Sign out" when you are done.

Sign in on the desktop app

  1. 1Download the macOS (Apple silicon or Intel) or Windows 10 / 11 version from the download page and install it.
  2. 2Open CreateX and sign in with the same account.

The desktop app has everything the web app has, and also lets your assistant work with files on that computer — see "Desktop app".

Sign in on the mobile app

  1. 1Install the CreateX mobile app (iPhone or Android); the download page shows where to get it.
  2. 2The first time you open it, the app shows the Personal Information Collection Statement. Read it and tap "Agree and continue".
  3. 3Enter your work email and password and sign in; signing in means you accept the Terms of Service and the Privacy Policy.
  4. 4After your first sign-in, the app explains what is processed by third-party AI services; you can start using the app only after you agree.

What do the sign-in messages mean?

  • "Incorrect email or password": check the spelling of your email; if it still fails, ask your administrator to reset your password.
  • "Your account has been disabled — contact your administrator": your company has disabled the account; contact your administrator.
  • "Too many attempts — try again later": wait a few minutes and try again.
  • "This version of the app is too old — update it to continue": update from the App Store, Google Play or the download page.

03Passwords

I forgot my password

CreateX has no self-service password recovery. Ask your company's administrator to reset it: they get a new initial password to give you, every session you have on every device ends immediately, and you sign in again with the new password.

To keep your account safe, never send your password to anyone by email or chat — including our support team.

How do I change my password?

  1. 1Web or desktop: click your name at the bottom left → Settings → Security → Change password. Mobile app: Me → Security → Change password.
  2. 2Enter your current password and a new one: at least 12 characters, with both letters and numbers.
  3. 3After the change you are signed out on every device; sign in again with the new password.

I lost my phone or laptop

Change your password from another device as soon as possible — that signs you out everywhere. If you cannot sign in, ask your administrator to reset your password. If the lost device is a computer with the desktop app, you can also remove it under Settings → Devices.

04Language

How do I change the display language?

  • Web or desktop: click your name at the bottom left → Settings → Account → Display language, and choose 简体中文, 繁體中文 or English. The page reloads.
  • Mobile app: Me → Profile → Display language.
  • Until you choose, the web app follows your browser's language.

Which language does the assistant reply in?

Your assistant and digital staff reply in the language of your message. When the message doesn't show a language (for example just "OK"), they use your display language. Meeting minutes follow the language of the meeting.

Buttons, notifications and system messages follow your display language. What colleagues write — titles, descriptions, comments — stays as written and is not translated.

05Phone notifications

How do I get notifications on my phone?

  1. 1When the app asks to send notifications, choose "Allow".
  2. 2If you chose not to allow them: on iPhone, go to Settings → Notifications → CreateX and turn on Allow Notifications; on Android, go to Settings → Apps → CreateX → Notifications (names vary slightly by phone brand).
  3. 3In the app, check that Notifications is on under Me → Reminder preferences.

What will I be notified about?

New messages, AI replies, results delivered by digital staff, and work reminders: before schedules and meetings start, before a task's planned end and after it is overdue, and when daily, weekly or monthly reports are due. Tapping a notification opens the conversation or item.

How do I change reminder times?

Under Me → Reminder preferences (web or desktop: Settings → Reminder preferences) you can set the default reminder for schedules and meetings (for example 15 minutes before), reminders before a task's planned end and after it is overdue, and the daily, weekly and monthly report reminders. Changes take effect immediately.

Why didn't my phone get a notification?

  • When CreateX is open on your computer (web or desktop app), new messages alert you there and your phone may not be notified again.
  • Check whether Focus or Do Not Disturb is on, or whether CreateX notifications are turned off in your phone's settings.
  • After you sign out, that phone no longer receives CreateX notifications.

Notifications show a preview of the message. To hide content on the lock screen, turn off lock-screen previews in your phone's notification settings.

06My Assistant

What can My Assistant do?

My Assistant is your personal AI assistant, pinned at the top of your chat list. Tell it what you need in one sentence — "set up a meeting with Chen tomorrow at 3 pm" or "ask Chen for a quote comparison by Friday" — and it fills in the owner, time and details and puts them on a card for you to confirm. It can also look up your schedule, tasks and meeting minutes, or hand work to the right digital staff member.

Confirm and Cancel on cards

  • Anything that writes or sends — creating a schedule, sending a task request, setting up a meeting — first appears as a card awaiting your response. Nothing happens until you tap "Confirm".
  • Tap "Cancel" and the draft is not carried out. Afterwards the card shows Confirmed or Cancelled; an older card replaced by a newer draft shows Superseded.
  • When two or more drafts are open, "Confirm all" or "Discard all" handles them in one go.
  • To change a card, just tell the assistant in the chat (for example "make it 4 pm") and it creates a new card.

What is in Pending?

Pending collects everything waiting for you: drafts to confirm, change requests, tasks awaiting your acceptance, meeting invitations awaiting your reply, requests with feedback, and applications for you to approve. Tap an item to open it or jump to its card.

Why does a colleague have to accept a task?

A task you give a colleague starts as a task request. The owner can accept it, ask for changes or decline; it becomes a task once accepted. Every task has exactly one owner.

Who can see my conversations with the assistant?

Neither your administrators nor your manager can see your conversations with your assistant. Managers see confirmed tasks, schedules, reports and files according to their permissions. Your assistant can only see what you have permission to see.

The assistant remembers some things about you from your conversations (such as how to address you and how you like to work). You can view, edit or delete these memories under Memory & privacy, or turn off Remember from conversations.

07Digital staff and work chats

What are digital staff?

Digital staff are AI team members your company enables, each good at a kind of work such as writing documents, building spreadsheets or making slide decks. They read the material you give them and deliver files, but they never send messages for you or change business data such as tasks and schedules. Your administrator decides which digital staff are available.

How do I start a work chat?

  1. 1In the chat list, tap "+" → Work chat (on the web, click "New work chat").
  2. 2Describe what you want done; you can attach files.
  3. 3Once you send it, a suitable digital staff member is matched and starts working. The chat title is set automatically.

What will I see while it works?

  • The run card above the reply shows progress (for example "Step 2/5") and, when finished, "Completed" with the details of each step.
  • If more information is needed, "Needs more info" appears: pick an option, add a note, or tap "Skip".
  • Delivered files appear in the chat as attachments that you can preview, download or forward.
  • Tap "Stop" to end work in progress.

08Desktop app

What does the desktop app add?

The desktop app (macOS and Windows) has everything the web app has, and also lets your assistant work on that computer: find and read files, tidy up material, work through the contents of a folder as you ask, then tell you the result or bring files back into the chat.

How do I use it?

  1. 1Install the desktop app and sign in.
  2. 2Below the message box in My Assistant or a work chat, the Local chip shows that this computer is online.
  3. 3Click "Choose workspace" to pick a default folder. Your assistant works there first, and can also look at files elsewhere on the computer.
  4. 4Just ask, for example "find the quotation on my desktop and tell me the key points".

When will the assistant ask me first?

Finding and reading files needs no confirmation. Risky actions — deleting files, changing things outside the chosen folder, network access — first show a "Needs your OK" card where you choose "Allow once", "Allow for this session" or decline. If you see the card in a browser or on your phone, confirm it in the desktop app.

How do I manage my computers?

Settings → Devices lists the computers signed in to the desktop app and whether they are online. "Remove" signs the desktop app out on that computer and stops any local work in progress.

09Meetings and minutes

How do I set up a meeting?

Click "New meeting" on the Meetings page of the web or desktop app, or just tell your assistant, for example "set up an online meeting with Chen tomorrow at 3 pm" — it shows you a meeting card to confirm first. Invitees can "Accept" or send "Feedback".

Recording and transcribing an in-person meeting

  1. 1The host opens the meeting, taps "Start meeting", then "Start recording".
  2. 2Speech in the room is transcribed live; you can pause, resume or discard the recording. On a phone, recording continues when the screen is locked or you switch to another app.
  3. 3When recording ends, the host can generate a minutes draft.

Transcripts are produced automatically by a speech-recognition service and may contain mistakes; in-person transcripts do not label speakers. The host should check before publishing the minutes.

Online meetings (Zoom, Tencent Meeting)

First connect Zoom or Tencent Meeting under Settings → Meetings in the web or desktop app. New online meetings then get a meeting link automatically. After the meeting, if cloud recording with transcription is on for the platform account, the host can click "Fetch cloud transcript" to generate the minutes.

Editing and publishing minutes

  • Minutes have six parts: summary, key decisions, action items, risks and issues, next steps, and additional notes.
  • Before publishing, the host can edit each part. Once published, the minutes can no longer be changed and every attendee can see them.
  • The host can turn the minutes into follow-up task drafts, check the owner and due date on each row, and confirm — a task is then created for each owner.

10Files

How do I send a file?

  • Use the attachment button next to the message box. On the mobile app you can take a photo, pick photos from your library, choose files on your phone, or choose from your files in CreateX.
  • Up to 5 attachments per message, 50 MB each. In My Assistant and work chats, add a sentence of text with your files.

Which files can be previewed?

Text and Markdown, images, PDFs, Office files such as Word, Excel and PowerPoint (shown as PDF) and HTML files preview directly; other formats can be downloaded and opened.

Who can see my files?

Files are visible only to the people involved: the members of a conversation, or the participants of a task or meeting. Forwarding a file adds a reference instead of a copy, so its source can always be traced. Downloads use short-lived authorized links.

Where do I find earlier files?

The Files page in the web and desktop apps holds all your files. In the mobile app, open a conversation and go to History → Attachments to find the files in that conversation.

11Privacy and your data

Who is responsible for my data?

Your work data in CreateX (conversations, tasks, meetings, files and so on) belongs to your company, which decides how it is used and kept. We process it on your company's behalf and protect it under our Privacy Policy. CreateX's servers are in Hong Kong.

How do I access or correct my personal data?

  • Name, phone number and avatar: change them yourself (web or desktop: Settings → Account; mobile app: Me → Profile).
  • Work email, department, position, role and manager: maintained by your administrator — ask them to correct it.
  • Anything else: under Hong Kong's Personal Data (Privacy) Ordinance you may ask to access and correct the personal data we hold about you. Ask your administrator, or email contact@createx-ai.hk with your company name and account email. We may need to verify your identity first, and we reply within 30 days of receiving your request.

How do I withdraw consent to AI services?

In the mobile app, Me → Privacy & policies lets you review the AI services notice and withdraw your consent. Until you agree again, the app on that phone then stops at the AI services notice and cannot be used; you can agree again or log out.

Withdrawal applies only to the app on that phone. The web and desktop apps do not ask for this consent and keep using AI services after you withdraw; if you have questions, contact your company administrator.

How is an account closed?

CreateX accounts are created by your company's administrator and are disabled or deleted by them too; there is no self-service account deletion in the app. When you leave or no longer need the account, contact your administrator. A disabled account can no longer sign in, and its sessions on every device end immediately.

When a company ends its subscription, we delete all of its business data within 30 days, except where the law requires us to keep it.

13Zoom integration guide

What the Zoom integration does

CreateX connects to Zoom through Zoom's official OAuth authorization to create online meetings, read the details of meetings you created, and, after a meeting ends, retrieve the cloud recording transcript to generate minutes. The authorization requests only the permissions these features need.

Adding, using and removing

  • Adding: sign in to CreateX → open the personal menu at the bottom left → Settings → Meeting settings → click "Connect" on the Zoom card → sign in on Zoom's authorization page and click "Allow" → you are returned to CreateX and the card shows "Connected". The first provider you connect becomes the default; you can change it with "Set as default" at any time.
  • Using: on the Meetings page click "New meeting", choose "Online", and the provider shows as Zoom (read-only). CreateX creates the meeting through Zoom and writes the join link into the meeting and the invitees' calendar invitations. After the meeting ends, if cloud recording with transcription is enabled on your Zoom account, the host can click "Fetch transcript from provider" in the meeting room, then generate, publish and turn the minutes into post-meeting tasks.
  • Your AI assistant can also create online meetings on your instruction (for example "set up an online meeting with Chen tomorrow at 3 pm"); it shows the meeting details and waits for your confirmation before creating anything.
  • Removing: Settings → Meeting settings → Zoom card → "Disconnect"; the authorization tokens are deleted immediately. You can also remove CreateX under Manage → Added Apps in the Zoom App Marketplace: when Zoom sends us the deauthorization notice, we delete the tokens and Zoom user identifier associated with that authorization within 10 days. Meetings and minutes already created are company data and are retained under the Privacy Policy.

Zoom permissions used: create and read your own meetings, read cloud recording transcripts, and read your basic user profile. CreateX never joins meetings and never reads meetings or recordings unrelated to the Service.

14Tencent Meeting integration guide

Adding, using and removing

  • Adding: Settings → Meeting settings → click "Connect" on the Tencent Meeting card → confirm on Tencent Meeting's authorization page → you are returned to CreateX.
  • Using: when creating an online meeting, the provider shown is your default provider. To use Tencent Meeting, click "Set as default" on its card in Meeting settings. After a meeting ends you can fetch the cloud transcript and generate minutes, exactly as with Zoom.
  • Removing: Settings → Meeting settings → Tencent Meeting card → "Disconnect"; tokens are deleted immediately. You can also revoke access from Tencent Meeting's app authorization management.

15How integration data is handled

Integration data

  • Authorization tokens are stored with AES-256-GCM encryption and are never displayed.
  • Transcripts retrieved from a meeting platform are visible only to that meeting's host and invitees; the host can correct speakers and text before publishing.
  • After you disconnect or revoke authorization, we no longer access any data from that platform.
  • See sections 4 and 5 of the Privacy Policy for details.
